Breakout Aquatics ("Breakout Aquatics," "we," "us," or "our") provides software designed to help swimming coaches, teams, and organizations manage their swimming programs, including swimmers, training groups, facilities, practice schedules, attendance, lane assignments, and related team operations.
This Privacy Policy explains how information is collected, used, stored, and protected when you use Breakout Aquatics websites, applications, and services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
The information collected by Breakout Aquatics depends on how the Services are used.
Account Information
When an account is created, we may collect information such as:
- Name or display name
- Email address
- Login and authentication information
- Account role and permissions
- Team or organization associations
Passwords are handled through our authentication system and are not stored as readable plain-text passwords.
Team and Organization Information
Customers may provide information about their swimming program, including:
- Team or organization name

- Seasons
- Practice schedules
- Lane configurations
- Coaching and staff assignments
Swimmer Information
Customers and authorized users may enter swimmer information into Breakout Aquatics. This may include:
- Swimmer name

- Group assignment
- Team affiliation
- Practice attendance
- Lane assignments
- Other information used by coaches to organize and operate practices
Some swimmer information may relate to individuals under the age of 18.
Breakout Aquatics does not require swimmers themselves to create accounts in order for coaches or teams to manage swimmer records.
Usage and Technical Information
We may automatically collect limited technical information necessary to operate, secure, troubleshoot, and improve the Services, including:
- Application logs
- Error information
- Login activity
- Date and time of activity
- Browser or device information
- IP address or similar technical information where generated by our hosting, security, or logging systems
2. How We Use Information
We use information collected through Breakout Aquatics to provide and operate the Services.

- Manage swimmers, groups, pools, and practices
- Manage attendance and lane assignments

We do not use swimmer information for advertising.
3. Customer Data
Teams, organizations, and independent coaches using Breakout Aquatics control the information they enter into the platform.
Customers are responsible for determining what swimmer and organizational information should be entered into Breakout Aquatics and for ensuring that they have the appropriate authority or permission to provide that information.
Breakout Aquatics processes and stores this information for the purpose of providing the Services to the customer.
Authorized users may only access information according to the permissions associated with their account and organization.
4. Information About Children
Breakout Aquatics is designed for use by swimming organizations and coaches and may contain information about swimmers who are minors.
Breakout Aquatics is not intended to allow children to independently create accounts or directly submit personal information to us without appropriate authorization.
Swimmer information is generally entered and managed by authorized coaches, administrators, or organizations.
Organizations and coaches using Breakout Aquatics are responsible for obtaining any permissions or consents required for the information they enter into the Services.
We do not knowingly use children's personal information for behavioral advertising or sell children's personal information.
5. How We Share Information
Breakout Aquatics does not sell personal information or swimmer information.
We may share information with service providers when reasonably necessary to operate the Services. These providers may include companies that provide services such as:
- Website and application hosting
- Database infrastructure
- Email delivery
- Security
- Application monitoring and logging
- Backup and disaster recovery
Service providers are provided access only as necessary to perform services on our behalf.
We may also disclose information when reasonably necessary to comply with applicable law, legal process, court orders, or valid governmental requests, or when necessary to protect the security, rights, or safety of Breakout Aquatics, our customers, users, or others.
6. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information maintained through Breakout Aquatics.
These safeguards include measures such as account authentication, role-based access controls, restricted team and group access, database security, application logging, backups, and encrypted communications where appropriate.
No system connected to the Internet can be guaranteed to be completely secure. While we work to protect information stored by Breakout Aquatics, we cannot guarantee absolute security.
Customers are responsible for maintaining the confidentiality of their account credentials and for appropriately managing access granted to coaches, administrators, and other users.
7. Data Retention and Account Deletion
Customer information is retained while an account or organization remains active and as reasonably necessary to provide the Services.
Customers may request deletion of their organization and associated operational data.
When an organization is scheduled for deletion, Breakout Aquatics may provide a 30-day recovery period before permanent deletion occurs. During this period, the deletion request may be cancelled and the organization restored.
After the recovery period expires and permanent deletion is completed, associated operational information may be removed from active Breakout Aquatics systems.
Certain limited information may be retained where reasonably necessary for:
- Legal or regulatory obligations
- Financial and accounting records
- Fraud or abuse prevention
- Security investigations
- Resolving disputes
- Enforcing agreements
Information may also remain temporarily in system backups until those backups are overwritten or expire according to our backup retention procedures.
Before requesting deletion, customers are encouraged to export any information they wish to retain.
8. Data Export
Breakout Aquatics provides functionality that allows authorized users to export certain customer information, which may include swimmer rosters, attendance records, and practice schedule information.
Customers are responsible for protecting exported files after they have been downloaded from Breakout Aquatics.
9. Account Access and Correction
Authorized users may update certain account and organizational information through the Services.
Customers may also contact Breakout Aquatics to request assistance with:
- Correcting account information
- Accessing information
- Exporting customer data
- Deleting an organization or account
- Privacy-related questions
We may need to verify the identity or authority of the person making a request before taking action.
10. Cookies and Similar Technologies
Breakout Aquatics may use cookies or similar technologies necessary to operate the website and application.
For example, cookies may be used to:
- Maintain authenticated sessions
- Keep users signed in
- Protect against security threats
- Remember application preferences
- Maintain application functionality

We may update this Privacy Policy periodically as Breakout Aquatics changes or as legal, regulatory, or operational requirements evolve.
When material changes are made, we will update the effective date displayed at the top of this policy and may provide additional notice where appropriate.
Continued use of the Services after an updated Privacy Policy becomes effective constitutes acknowledgment of the revised policy where permitted by law.
